Migration to Microsoft 365

Challenge

KIDA Automation, a production line automation company, was using a basic IMAP-based email system provided as part of its website hosting. The lack of central management, limited resource sharing options, lack of impersonation and password policies, and cumbersome email client configuration were causing frustration among employees. The company needed a modern, reliable, and secure email system.

Solution

We proposed a migration to Microsoft 365, unlocking the full benefits of Exchange Online for the business. We precisely planned the migration, conducting a full audit of over 40 mailboxes, aliases, and distribution groups before recreating them on the new mail server. Users were notified well in advance, and thanks to appropriate DNS record modifications, the transition to the new solution was seamless—email remained fully functional with zero disruption to incoming messages.

In addition, for employees on business trips, we have prepared detailed video instructions to help them quickly and efficiently set up new accounts and familiarize themselves with features that were previously unavailable in the previous email system.

After the migration, we entered a multi-day hyper-care period, guaranteeing a response time to all user requests within 30 minutes.

Effect

Everyone at KIDA Automation immediately felt the benefits. The introduction of shared mailboxes, the ability to delegate access, and the use of the Outlook Mobile app significantly improved daily work. Employees quickly adapted to the new system, gaining a more convenient, intuitive way to manage email and calendars. New employee onboarding is also smoother, as how-to videos describing the basics of email and calendar operation are included in each new employee's induction training.
